What a freelance invoice should include

Pick payment terms that get you paid
Net 30 (due 30 days after the invoice date) is common, but many freelancers use Net 15 or Due on receipt for smaller jobs. Whatever you choose, show the due date on the invoice and in the payment note.
Adding a QR code for Venmo, Cash App, PayPal or a payment link lets clients pay from their phone in seconds.
Hourly or fixed price?
- Hourly: list hours as the quantity and your hourly rate as the price — for example
2.5 hrs × $120. - Fixed price: use one line per deliverable with a quantity of 1.
- Deposits: invoice the deposit first, then a final invoice for the balance.
Sales tax for freelancers
Most freelance services aren't subject to sales tax in most states, but there are exceptions, and anything you sell as a physical product usually is taxable. If you do charge tax, mark only the taxable lines and enter your rate — the template calculates the tax on those lines only.
A worked example
Here's a freelance writer's invoice for a month of work:

Common mistakes on freelance invoices
- Reusing invoice numbers or skipping them — keep one sequence.
- Leaving out the due date, which invites late payment.
- Vague descriptions that the client's accounts team can't match to the work.
- Putting your Social Security number on the invoice. Never do this — give clients your taxpayer ID on a Form W-9 instead.
- Only offering a paper check, when a QR code or payment link would get you paid faster.
- Forgetting the client's PO number — larger clients often can't pay without it.
- Sending the invoice to the wrong person. Ask who handles payments before you send your first invoice, and address it to them.
Getting paid faster
- Invoice as soon as the work is delivered.
- Agree payment terms before you start, and repeat them on the invoice.
- Offer at least one instant payment method — Zelle, Venmo, Cash App, PayPal or a payment link.

Keeping good records
Save a PDF of every invoice you send, and keep your invoice numbers in order with no gaps or duplicates. Record when each invoice was paid and how. At tax time, those records make it simple to total your income and — if you charge sales tax — to report exactly what you collected. When a client doesn't pay
Most late invoices are forgotten, not disputed. Work through these steps:
- Resend the invoice with a short, friendly note on the due date.
- Follow up a week later by email and, if you can, by phone.
- Check the details — a wrong email address or missing PO number is a common reason invoices stall.
- Offer a payment plan if the client is struggling, and put it in writing.
- Pause further work until the account is up to date.
If an invoice stays unpaid for a long time, small-claims court is an option in every state for smaller amounts; the limits and process vary, so check your local court's website.

Frequently asked questions
Do freelancers need to charge sales tax?
Often not — many states don't tax most professional services — but some do, and selling goods (prints, merchandise, hardware) is usually taxable. Check your state's rules for what you sell.
What invoice number should I start with?
