Car detailing customers buy a result: a clean, shiny car. But the price depends on the vehicle's size, the package they chose and the extras added on the day, like pet hair removal or headlight restoration. A clear invoice shows the package, each add-on and the vehicle, so there are no surprises when the customer comes to pay.

What to include on an auto detailing invoice

  • Your business details: name, phone, email and any business license your city or county requires.
  • Customer details: name, phone and address, plus the service address for mobile jobs (use Ship to for where you did the work).
  • Invoice number, issue date and due date.
  • Vehicle details: year, make, model and color, and the plate or the last digits of the VIN for fleet or dealer work.
  • Date of service.
  • Package, with the vehicle size and a short summary of what it covers.
  • Add-ons, each on its own line.
  • Mobile or travel fee, if you charge one, plus tax, total and how to pay.

The package covers the core work, and each extra has its own price. If the customer asks why the total is higher than the advertised package price, the answer is right there.

Packages and vehicle size

Most detailers sell packages, such as an express wash, an interior detail, an exterior detail and a full detail, with prices that go up with the size of the vehicle. On the invoice:

  • Name the package and the size class, such as "Full detail, midsize SUV" or "Interior detail, full-size truck".
  • Summarize what's included in a few words, or keep a package list on your website and reference it.
  • Use a quantity of 1 for the package, or the number of vehicles for fleet work, such as "Exterior wash, sedan, 6 vehicles".

If the vehicle needs much more work than a normal car of its size, like heavy mud, sand or stains, tell the customer before you start and add an "Excessive soil" line rather than quietly raising the package price.

Add-ons

Add-ons are where detailing invoices most often cause confusion. Give each one its own line:

  • Pet hair removal
  • Headlight restoration
  • Engine bay cleaning
  • Odor treatment
  • Clay bar and paint decontamination
  • Paint correction, by stage
  • Ceramic coating or sealant
  • Seat shampoo or carpet extraction

Higher-priced work such as paint correction or ceramic coating is often quoted first. Mobile detailing and travel fees

Mobile detailers usually include a set service area and charge a travel fee beyond it. Put it on its own line with the reason, such as "Mobile service fee, outside 15-mile area". If you bring your own water and power, say so in your service terms, so customers know what they're paying for. Use Ship to for the address where you did the work, especially for jobs at an office or apartment parking lot.

Fleet and dealer work

Dealerships, rental companies and businesses with company vehicles often send several cars at once. List each vehicle on its own line with a plate or the last digits of the VIN, reference their PO number, and send one invoice per batch unless they ask otherwise. Commercial customers often expect Net 30. Individual customers usually pay on completion, so add Zelle or Venmo details and a QR code so they can pay before you leave. Signing in keeps your regular customers and their vehicles saved for next time.

Sales tax for auto detailing

Sales tax on detailing depends on your state:

  • Some states tax car washing and detailing as a taxable service. New York, for example, generally taxes washing, waxing, vacuuming and detailing done by car wash staff (see our New York guide).
  • Many states don't tax the service itself.
  • Products you sell separately, such as air fresheners, floor mats or a bottle of spray sealant, are generally taxable goods in states with a sales tax.

Keep services and products on separate lines, tick Tax only on the taxable ones, and check your state's rules before you charge tax. For mechanical work on the same vehicle, see our auto repair template.

Common mistakes on auto detailing invoices

  • No vehicle details, so a customer with two cars can't tell which one the invoice is for.
  • Add-ons folded into the package price, which makes the total look higher than advertised.
  • Surprise travel or excessive-soil fees that weren't agreed before the job.
  • No warranty or care notes for ceramic coatings and sealants.
  • Missing PO number on fleet and dealer invoices.

Keeping good records

Save a PDF of every invoice, keep invoice numbers in order with no gaps or duplicates, and record when and how each was paid. Before-and-after photos help with repeat customers, fleet accounts and any question about the condition of a vehicle when it arrived.
